Original Documents for American Mod Policies

Bulletin – Tuesday, February 5, 2013

American Modern has always required that sub-producers obtain signed applications as well as other mandatory forms, such as uninsured motorist selection/rejection forms. As a reminder, this requirement has not changed, and is specified in the program manual for each of the personal lines products. Please note the instructions below for the proper procedures.

When issuing policies in modernLINK® make sure to:

  • Answer all questions on the modernLINK system application. Once completed, this application must be printed from modernLINK and signed by the named insured(s) and the writing agent

Note: Applications that are not completed and submitted through our modernLINK system are not acceptable and should not be bound.

  • Keep a copy of the completed and signed application in your file.
  • For recreational products, such as motorcycles, obtain documents such as signed UM/UIM, PIP, medical payment, driver exclusion forms, proof of discounts, photos, daily declarations, other state specific forms and any other documents required as indicated on the modernLINK application or in the state specific program manual.

Note: For collector vehicle policies only, documents and photos can be attached to the policy electronically.

You may be asked at any time to provide copies of any of these items by our underwriting or claims departments.

Underwriting review

To ensure that all necessary procedures are followed regarding required documents, the company may periodically review a sample of your American Modern policies. As part of the reviews, copies of the documentation will be requested from your agency. They require copies within ten business days. If we do not receive the documentation in that timeframe, the policy may be subject to:
  • Removal of any applicable discounts
  • Addition of UM/UIM limits to equal BI
  • Cancellation or nonrenewal of the policy, in accordance with state statutes.

Important Note

As a sub-producer and appointed agency, you are accountable for completing and retaining or submitting proper documentation. This requirement includes any new submissions and all inforce policies. Having the completed and signed paperwork for every policy allows for smooth claims handling, and helps protect you as an agent. Failure to obtain and maintain the proper forms could result in an adjustment to your underwriting authority, or in some extreme cases, a potential errors and omissions claim for your agency.

If you have any questions, please contact Tuscano's personal lines department.
